Terms of Service

Last updated October 29, 2026

This page holds the contract that governs CompanionBooked's website and service. Visiting the site or using the service counts as accepting it, so if you can't accept it, please don't do either. Throughout, "we" and "us" refer to CompanionBooked.

Who's bound

A veterinary practice that signs up for CompanionBooked is bound by these terms, and so is every person who uses our service for that practice. The person signing up confirms the practice has given them authority to agree. Most of the time, "you" below means the practice itself rather than one person.

Readers who never sign up are held only to the website sections and to our privacy policy.

Our rules for texts cover the texts CompanionBooked sends, as well as texts a vet practice sends from our software.

The plan

Vet practices anywhere in the US get one monthly plan from us: the website, the marketing and the software, with tracking and an account manager on top.

Website. Our team designs the practice's site, builds it, hosts it and makes your edits, with online booking, forms and chat built in.

Marketing. We create and manage the practice's ads on Google, Facebook and Instagram, in ad accounts held in the practice's name, with creative our team makes or creative you supply. Local SEO, appearing in AI-generated search answers, running the practice's Google listing, requesting reviews from pet parents and answering them, and social media posts are part of it too.

Software. Two-way texting from your practice's number, reminders for appointments, vaccines and wellness visits, business phone lines that text back a caller you missed, online booking, an AI receptionist that covers phone calls, text messages and the chat box on your site, SOAP notes the AI writes from the exam-room conversation, a branded app and portal for pet parents, payment links by text, wellness plans, a shared inbox where texts, calls, emails and Facebook or Instagram DMs land together, and syncing with each PIMS on our Compatible PIMS page.

Tracking. Call tracking numbers and tagged links connect each new client with whichever ad or search brought them in, shown on a results dashboard and in a monthly report written in plain English.

Account manager. You get a single person on our team who knows your practice and handles your questions.

Features can be added, reworked or retired over time. Removing anything important from your plan always comes with advance warning.

Going live

Our target: live in 14 days, with the clock starting at our first call. Meeting it depends on the practice getting us its logo, photos, details and account logins promptly.

Billing

The plan runs month to month. No contract. No setup fee. No minimum term, either.

All three come in one monthly plan, priced on a 30-minute call. The price agreed there is what we charge every month.

Monthly charges are due on the billing date, and your practice agrees to pay them. Taxes are added unless we tell you they're included. Service may be paused while any failed payment stays unpaid.

Your price only changes after notice from us, and you may leave the plan before the new amount is charged.

Canceling takes one email to sales@companionbooked.com, sent whenever you decide. Billing stops after that, the service stays on through the end of the paid month, and we don't refund part of a month.

Ad spend

Your practice pays its ad spend straight to the ad platforms, so it never appears on our invoice. Ads run in Google and Meta accounts that belong to the practice, on budgets you approve, and our team keeps spending within those budgets. Whatever Google or Meta charges is settled directly by the practice with that company; CompanionBooked isn't responsible for it.

Ownership

Anything your practice hands us, such as its logo, photos and wording, remains the practice's. Our team uses that material only for your plan, such as on the site and in ads, and you confirm the practice is free to let us use it.

Pet parent and pet data, including pet parents' details, pets' names, appointments, reminders and messages, is the practice's property. CompanionBooked handles it on the practice's behalf as the company that runs its software, under these terms and any other written agreement between us, and never sells it. More detail is in our privacy policy.

CompanionBooked, or the companies that license things to us, owns the designs, templates, software, methods and tools behind the service. Being on the plan gives you no ownership of them.

Your part

Keep the practice information you give us correct and current, and flag any change to it. Checking facts before anything goes live on the website, in listings or in ads falls to you.

Before the practice texts, calls or emails a pet parent through our software, that pet parent must have given legally valid consent. Obey every calling and texting law, the TCPA included, plus carrier rules. When someone asks the practice to stop contacting them, stop. No pet parent should ever have to accept marketing texts to get a pet treated or to buy anything.

Veterinary advertising has its own rules, and whatever the practice publishes in ads, on its site or in messages must meet them: the FTC's rules against deceptive advertising, your state veterinary board's standards, and Google's and Meta's ad policies among them. Every claim needs evidence behind it. Before featuring a pet parent's name, a pet's photo, a review or a story, get any permission the law calls for.

The practice's privacy duties stay with the practice, its privacy notice included. That notice should mention the tools used with CompanionBooked, like website tracking, call tracking, call recording and texting.

Every medical decision about a pet belongs to your DVMs. SOAP notes, AI features and reports are aids, not a substitute for professional judgment. Read over what pet parents hear from the AI receptionist and read in AI replies, check every SOAP note before signing off on it, and tell pet parents about call recording or AI where a law says you must.

Guard your logins. Only practice staff who need access should have it, and if you suspect an intruder, tell us right away. Whatever happens under the practice's accounts is the practice's responsibility.

No guaranteed results

Our team will put its best work into your practice, yet we can't guarantee any particular result: not a certain count of new clients, bookings, calls or reviews, and not a search ranking. Plenty of what drives them sits outside our hands: nearby competition, how big your ad budget is, how quickly your team calls people back, and choices Google, Meta and others make. Results aren't guaranteed.

Acceptable use

Our website and service may not be used to spam people, to text anyone who hasn't agreed, to break the law, to deceive, or to publish anything harmful or hateful or anything you lack the rights to.

You also may not break into systems or accounts you have no permission for, copy or resell our service, or interfere with anyone else's use of it.

A practice that breaks these rules risks suspension or termination of its service. Usually a warning comes first, unless the issue is serious or urgent.

Outside services

Our service plugs into services other companies run, including Google, Facebook and Instagram (both run by Meta), and phone and text carriers, and some of it is built on other companies' software. Their terms and policies apply to your use of those services as well.

Those companies make their own decisions. They might change a feature, reject or remove an ad, limit reach, suspend an account or have an outage, and CompanionBooked isn't responsible for any of that. If it affects your practice, we'll help however we're able.

Liability limits

To whatever degree the law allows, we offer our website and service on an "as available", "as is" basis, and the only promises we make about them are the ones in these terms. That excludes any implied warranty that the service is merchantable, non-infringing, or fit for your particular purpose. We also can't promise the service will run without interruption or errors.

Within legal limits, CompanionBooked won't be liable for lost profits, revenue, clients, data or goodwill, or for consequential, incidental, indirect, special or punitive damages, even when we knew such losses could happen. Across all claims arising from these terms or from our service, CompanionBooked's total liability tops out at the total of your payments to us in the 3 months before the claim began.

If a third party claims against CompanionBooked over anything your practice posted, advertised or sent, or over the practice breaking a law or these terms, the practice pays our reasonable costs of that claim, legal fees included.

Where a state bars some of these limits, the barred ones may not apply.

Ending service

Your practice may cancel at any point, as set out under "Billing". We may end the service by giving notice in advance, or immediately if the practice doesn't pay, breaks these terms, or uses the service so as to put CompanionBooked, pet parents, their pets or anyone else in harm's way.

Logins to our software stop working on the day service ends. Up to that day, we'll export your pet parent and pet data and your content for you on request. Any pet parent and pet details left with us after that follow whatever the law and our contract with the practice require.

Some parts of these terms naturally continue after service ends, such as unpaid fees, ownership and the liability limits, and they stay in force.

Revisions

We'll revise these terms occasionally. Each new version shows its own date next to "Last updated", and if the change is significant, practices on our plan hear about it by email. Continuing to use CompanionBooked after a new version takes effect means accepting it; if you object, you can cancel.

Please bring any complaint to our team first; most problems get sorted faster that way.

Everything else

These terms, our privacy policy, our rules for texts and any written deal we've made with you about your plan, taken together, are our complete agreement. A clash between these terms and something else you've signed with us, such as a pet parent data agreement, goes the signed document's way.

An unenforceable section doesn't knock out the rest; everything else stays in effect. Delay in enforcing a part isn't a waiver of it. The practice can't pass these terms to another business unless we agree in writing. If CompanionBooked is sold, we may transfer them to whoever buys us.
