Moved with one tap on Monday. The 2:00 slot, refilled.

CompanionBooked is software for veterinary practice managers: reminders that cut no-shows, phones that get answered and a monthly report written for you. Your team runs on it, and your PIMS stays current.

  • Reports, no spreadsheet
The week by doctor: Luna’s 2:00 wellness exam moved to Thursday by one tap on a reminder, and Tuesday’s 2:00 refilled from the waitlist.

Three jobs off your desk

The no-shows, the phones and the report

Request a demo

Tuesday at 2 p.m. the wellness exam doesn't show, the desk is on hold with a pharmacy, and the no-show policy you wrote sits in a drawer. Friday you build the month's numbers from three exports. Here is what changes on each.

A Tuesday, as it goes

Before CompanionBooked: the practice's typed no-show policy from 2024 with "2:00 wellness, no show (3rd!)" written on it in red, beside a note that the pharmacy has been on hold for 12 minutes.

Your 14 days

Live in two weeks, on rules you okay

Here is what the two weeks look like.

A practice manager's rules written down in CompanionBooked's setup: reminder timing, confirmations, no-shows and deposits turned into texts and booking rules.

On the first call you walk us through your visit types, each DVM's hours, your reminder timing and your no-show and deposit policy. We write those into booking rules and texts, then send them to you to approve.

Off the manager's desk

Six things you stop chasing by hand

Each row is a job that usually lands on the practice manager, and who handles it once your practice is on the plan.

  • Friday numbers

    No exports to stitch

Calls answered and missed, bookings, no-shows, reviews and new clients by source arrive as one report, already added up for you.

    • No-show and confirmation rates counted for you each week
    • Calls, texts and bookings on a dashboard you open any morning
CompanionBooked's October in one report: calls answered, bookings, no-shows, reviews and new clients by source.
  • Hiring a CSR

    A short desk still answers

When you're a CSR down, calls ring every free phone at the desk, then a backup phone, then send the caller a text. The phone tree sends refill calls to their own line, and every call is recorded so you can coach new hires from real calls.

    • Ring groups and an after-hours route you choose
    • Recorded calls to coach a new CSR on real conversations
CompanionBooked's call log for a busy morning: calls ringing every desk phone, the backup phone, the refill line, and a text when all were busy.
  • Ad spend

    Ads you can account for

The owner asks whether last quarter's ads did anything, and you're guessing. We run your ads on Google, Facebook and Instagram, each with its own tracking number and booking link, so every new client is traced to the ad that found them. The monthly report shows cost per new client in plain numbers.

    • New clients and the revenue they bring, tied to each campaign by name
    • Budget shifted each month toward the ads that book
CompanionBooked's Google and Facebook ads with what each cost and brought, the dental ad paused by our team.
  • Lunch hour

The desk takes its lunch break

Covering lunch used to mean someone eating at the desk. Now the AI receptionist answers from 12:30, says it's an assistant, books routine visits and hands the rest to your CSRs as a summary. Anything urgent goes by your own protocol.

    • Answers in English or Spanish, switching mid-call
    • Your CSRs come back to a written note on each call
The CompanionBooked inbox with a lunch call the AI receptionist couldn't settle, handed to a CSR as a short summary.
  • 9 a.m.

    The 9 a.m. calls, retired

Someone used to phone tomorrow's appointments between checkouts. Now confirmations go by text from your practice number, and a reply confirms or moves the time. Households with three pets get one text naming each pet due.

    • Vaccine and wellness reminders timed by due date, not by memory
    • Spanish texts for pet parents who prefer them
Tomorrow's confirmation texts from the practice's number, with one text naming all three pets in a household.
  • One star

    Reviews

A one-star review sat unanswered for four days because nobody owned it. Now every visit ends with a review text, our team replies to each Google review in your practice's name, and low scores reach you first.

    • Low ratings and survey scores sent straight to you
    • Replies that never name the pet or the visit
Every Google review answered the same day in the practice's name, with a two-star review okayed by the practice manager first.

In the plan

  • Request-to-book option
  • Booking caps per day
  • Staff phone app
  • Wellness plans billed monthly
  • Failed-payment retries
  • Satisfaction surveys by text

How many 2:00s went empty last month? Let's cut that.

Bring your no-show count and how your desk covers lunch. We'll walk through the reminders, phones and report we'd set up. Month to month, no setup fee, live in 14 days.

Manager FAQs

Questions practice managers ask first

Searching setup, support or outage narrows the questions.

6 questions

Is it easy for my team to use?

Yes: your CSRs work from one inbox for texts, calls and messages, and a phone app on iPhone and Android. We train every role in short sessions, and your account manager answers questions after go-live.

Will reminders start to bother pet parents?

Not if each one is useful: households get one text naming every pet due, timing follows the rules you set, and a STOP reply ends them for that household. Reminders end when a pet passes.

Do you handle multi-location?

Yes. Each location gets its own number, hours, booking calendar and page on the website, and one login lets you switch between them. Calls from up to ten locations can ring the same phone app. Our team sends a combined monthly report across every location, so you can compare no-shows and new clients side by side. Groups get their own page: see Multi-Location Groups.

Who does setup and training?

Our onboarding people handle all of it. Setup, moving your client and pet list over and training your team are part of the plan. You spend about an hour with us in week one, then approve what we build.

What if something breaks?

Email or chat us and our team fixes it, and your account manager follows up. If your internet drops, calls still ring the staff app on your cell phones, so the phones keep getting answered.

What support do we get?

A named account manager with a monthly strategy call, plus email and chat support from our team for anything your desk needs in between.
