Friday's dental is held by a deposit paid by text.

Payments & Wellness Plans covers deposits, pay-by-text checkout and veterinary wellness plans billed monthly, for US vet practices. Our team builds it for you, and the money lands in your practice's own account.

Thursday, 4 p.m. Tomorrow's dental has no deposit, a CSR is taking a card number over the phone while the counter line grows, and three wellness plan cards failed this month without anyone noticing. Below, the same afternoon once payments go by text.

Before CompanionBooked: a card number for Biscuit's dental deposit written by hand on a phone authorization form, on top of a wellness plan report with three declined cards.

Getting paid

Taking deposits and plan payments by day 14

You choose the rules; we build them.

CompanionBooked's payment rules in setup: the payment account connected, and deposits for dentals, spays and new client exams set with their refund rules.

We connect your practice's payment account and go through your rules with the practice manager: which appointments need a deposit and how much, when invoices are due, and what happens when a card fails.

Each way you get paid

Six times the desk takes a payment

Each used to need a phone call, a paper statement or card numbers read aloud at the desk. Now each is a text, a link or a saved card.

  • Surgery days

    Slots held by deposit

A dental no-show leaves a DVM, a tech and an anesthesia slot idle all morning. Now surgeries and dentals book with a deposit taken up front.

    • You set the deposit amount for each appointment type.
    • New clients booking online pay to hold the time.
The Payments screen listing this week's surgery and dental deposits, each slot held once its deposit is paid.
  • Curbside pay

    Paid from the parking lot

A pet parent picks up after a dental and waits in the car while the CSR walks out with a clipboard and a phone. From the staff phone app, your CSR texts a pay link instead, and they pay with Apple Pay before the pet comes out.

    • Your CSR texts pay links from the inbox or the phone app.
    • A receipt text arrives the moment the payment goes through.

  • Puppies

    Puppy plans, sold by ads

A family nearby with a new puppy searches for shots and a first exam. Our team places Instagram and Facebook ads about your puppy wellness plan that point to a sign-up page with the monthly price and what's covered. They enroll from their phone, save a card and book the first visit.

    • Ads point to your plan's own sign-up page, with what it covers and costs.
    • Each enrollment is tied to the campaign it came from.

  • Balances

    Overdue bills, minus the calls

Every Friday a CSR works down a list of overdue balances, leaving voicemails between check-ins. Now invoice reminder texts go out before and after the due date, each with a pay link. Whoever still owes shows on a short list, and your CSR calls from the record in one click.

    • Texts and emails remind them on days you choose.
    • One click dials them from the household's record.
Balances due with reminder texts sent before and after the due date, most paid from the link, and two left to call.
  • Plans

    Members who use their plan

A pet parent pays for a wellness plan all year, forgets the second exam it covers, then cancels at renewal. Reminder texts by due date tell plan members what's included and coming up, so the visits they paid for get booked.

    • Reminders name each pet in the household that has a plan visit due.
    • Each reminder shows your practice's number as the sender.
Wellness plan members in CompanionBooked with how much of each plan they have used, and the reminder text sent to a pet parent who hasn't booked the second exam the plan covers.
  • After pay

    Reviews

The pet parent pays, the receipt arrives, and that's the last they hear until the next reminder. Shortly after checkout, a text checks in on the visit and links to your Google page. Each review is answered by our team for your practice.

    • Once the bill is settled, a Google review request follows by text.
    • Replies written by us, never naming the pet.
After checkout, a text checks in on the visit and links to the practice's Google page, and a five-star review follows.

Also included

  • Apple Pay and Google Pay
  • Text-to-pay invoices
  • Receipts by text
  • Online wellness plan sign-up
  • Per-pet plan billing

Payment FAQs

Plans and payments, asked by owners

Owners most often look up deposits and failed payments.

6 questions

How do pet parents enroll?

Pet parents enroll on a sign-up page in your practice's name, opened from your site, the app or a link you text. They pick the pet and the plan, save a card, and billing runs monthly on the same date until the plan ends or is cancelled.

Will we need different software just for our wellness plans?

No. Wellness plans run on the same software as your texting, booking and payments, so each member's billing and messages sit on one record per pet parent.

Are declined plan cards retried?

A failed wellness plan payment is retried up to three times, one to seven days apart, on the schedule you choose. If the card still fails, the pet parent is asked for a new card on their phone and in their email, each message carrying its own link. Your manager sees every failed and recovered payment on the dashboard, and a CSR can call from the record if it's still open.

Can pet parents pay by text?

Yes. A CSR sends a pay link from the conversation, and the pet parent pays by card or with Apple Pay or Google Pay on their phone. Cards can be saved on file for next time if the pet parent agrees.

Billing when a pet passes?

Plan billing for that pet stops the day your team records it as passed, along with its reminders, and your practice sends a single sympathy text. Any final balance is your practice's call.

Can we require deposits?

Yes. Deposits can be required for surgery, dentals and new-client bookings, taken when the appointment is booked online or texted to the pet parent as a link.
