Late morning rush

Where each call ends up now

Request a demo

At 11 a.m. a beagle is checking in, a refill sits half-counted and the reference lab has the other line on hold. Then the phone rings a third time in a minute. Every thought gets cut off.

How 11 a.m. sounds today

Before CompanionBooked: a phone at 11:03 a.m. with three missed calls in one minute, beside a refill log stopped at 18 of 30 Apoquel tablets and a note that the reference lab is on hold on line 2.

Going live

Your number moves in two weeks

Your number stays the same, and pet parents never notice the switch.

CompanionBooked's phone setup on day one: the walk-through call done, the practice's phone tree mapped line by line, and the number port started.

Our first call lists your lines, who picks up what, and your hours. Moving your number over starts that same day.

On the line

What callers get when the desk is full

Your CSRs still answer first. These are the backups behind them, set up by us.

  • Missed call

The caller who hung up at voicemail

A new pet parent calls once, gets voicemail and tries the next practice on Google. Here your number texts them back before they can dial anyone else.

    • A text goes back seconds after the hang-up.
    • Their reply sits beside the call in the inbox.
A missed call texted back from the practice's number within the same minute, the new pet parent's reply and the puppy exam booked.
  • Lunch and closing

    After hours, a clear route

At 12:30 and after 6 p.m., callers hear your hours, can leave a voicemail that arrives as text, or are routed to whichever on-call vet or emergency hospital you name.

    • Texts after close get an instant reply with your hours.
    • Urgent callers are sent to your chosen ER, per your protocol.
The after-hours line's on-call page, with this week's on-call vets and the text Dr. Okafor got about an urgent call.
  • Call data

Where each new caller found you

Your manager sees answered and missed calls by hour and by day, and which source each new caller came from.

    • Every ad and your Google listing carry a separate tracking number, so each call is tallied to the place it came from.
    • Busiest hours show up, so you can staff the desk.
New callers to CompanionBooked by source in October: Google profile, Google Ads, the website, Facebook and Nextdoor.

Also included

  • Click-to-call from any record
  • Ring groups by role
  • Call log beside every text thread
  • Spanish greeting and menu
  • Desk phones, browser or app
  • Its own number on every ad

6 questions

Where do unanswered and late-night calls go?

Your number texts back any call nobody answered, and after close callers hear your hours and your ER.

Will our number change?

No, the number stays yours. We move it over for you, and calls and texts keep reaching you on it, so nothing on your sign or your cards changes.

Will our desk phones still work?

Yes, most internet desk phones can be set up again for our system, and any computer or mobile phone can take calls.

Do you record and track calls?

Yes, every connected call is recorded, voicemails are transcribed, and tracking numbers show which campaign each call came from.

Do staff get an app on their phones?

Yes, the staff app runs on iPhone and Android, with calls, texts, the inbox and the calendar. A tech in the treatment room or a manager off-site can answer from the practice number.

Is it connected to our PIMS?

Yes, calls and texts with each pet parent are saved to your PIMS record.
